Quick answer: how to choose a coffee bean supplier for your café

Start with what your menu needs, then check seven things: coffees that suit your drinks and equipment, freshness, consistency across bags and crops, delivery to your location, clear minimums and pricing, training and support, and how easy the supplier is to reach, including in Chinese if that's how your team works.

1. Start with your menu, not the price list

Write down your drinks, equipment and customers. A good supplier asks about all three and explains why each coffee suits your menu.

For your house espresso, choose a single origin for one clear character, or a custom blend built for your drinks.

At Brewsmith, we offer espresso single origins, custom blends and seasonal filter coffees. Our espresso coffees work straight or with milk. All come whole bean or ground.

2. Roaster or distributor: which kind of supplier do you need?

RouteWhat it isSuits you if…
Local specialty roasterYou buy direct from the people who roast your coffeeYou want coffee chosen for your menu and direct contact on taste and freshness
Multi-brand distributorOne supplier for several coffee brands, plus syrups, tea and equipmentYou want one-stop ordering for many products

Brewsmith is a roastery with its own café at The LakeFront, Southkey, so we serve our own coffee every day and understand café service.

3. Freshness: what to ask

Ask how and when your coffee is roasted.

At Brewsmith, we roast in small batches for every order on the Stronghold S7X and S9X at our Kota Southkey roastery. Espresso is at its best 5 to 7 days after roasting, and our wholesale bags carry a printed roast date.

4. Consistency: will bag ten taste like bag one?

Coffee is a seasonal crop. Ask how your supplier tells you about crop changes.

At Brewsmith, every batch gets the same care, and we let our wholesale clients know when a crop changes.

5. Delivery: West Malaysia, East Malaysia and Singapore

  • West Malaysia: wholesale delivery is free. We cover it.
  • East Malaysia: delivery is quoted by order weight.
  • Singapore: delivery from Johor Bahru usually takes 3–5 business days, though this varies by order. It's quoted by order weight, and Singapore pricing is in SGD. See our coffee bean supplier for Singapore cafés page.

6. Training, recipes and equipment

Good support means help dialling in recipes, barista training and SOPs your team can follow on a busy shift.

At Brewsmith, barista training and SOPs are provided for wholesale accounts within West Malaysia. We also supply espresso machines and grinders, including La Marzocco, Kees van der Westen, Weber Workshops and Mahlkönig.

7. Café coffee supplier checklist

  1. Menu fit: Can you match coffees to my drinks, equipment and customers?
  2. Freshness: Is my coffee roasted for my order, and how long should I rest it?
  3. Consistency: How will you tell me about crop changes?
  4. Delivery: Do you deliver to my area, and how is the cost worked out?
  5. Minimums and pricing: What are they for my business, in writing?
  6. Training: Do you offer barista training and SOPs where I am?
  7. Communication: Who will I talk to, and can we talk in my team's language?
